Users ​

Octeth uses a multi-tenant architecture where the system administrator manages User Groups and Users. User Groups define the rules, limits, permissions, and delivery settings that apply to all users within a group. Users are individual accounts assigned to a User Group, each with their own subscriber lists, campaigns, and settings.

This article covers how to create and manage User Groups, create and manage user accounts, monitor user activity and limits, and perform administrative actions such as impersonation, messaging, and account control.

User Groups ​

User Groups are the foundation of Octeth's multi-tenancy model. Each User Group defines:

  • Permissions — what features and actions users in the group can access
  • Limits — how many subscribers, emails, campaigns, and other resources users can consume
  • Delivery settings — which SMTP servers or email service providers are used for sending
  • Billing — whether the payment and credit system is active, and how usage is priced
  • UI settings — which template and theme users see when they log in

Every user account belongs to exactly one User Group.

Browsing User Groups ​

Navigate to the User Groups page from the admin panel. The page displays a table listing all configured user groups.

The table includes the following columns:

# Of UsersThe number of user accounts assigned to this group. Click the count to browse users filtered by that group.
Delivery ServersShows delivery server assignments using colored badges: M (Marketing, blue), T (Transactional, green), and AR (Auto Responder, purple). If multiple channels share the same server, they are grouped together. Unassigned channels display as "Not Assigned" in grey.

Use the checkboxes on the left to select multiple groups, then click Delete in the toolbar to remove them.

WARNING

A User Group cannot be deleted if it has users assigned to it. Reassign or delete the users first.

Creating a User Group ​

Click the Create User Group button on the User Groups page. The creation form is organized into five tabs: Preferences, Limits, Billing, Permissions, and User Interface.

Preferences Tab ​

The Preferences tab contains the core configuration for the user group.

Basic Settings

Behavior Settings

These checkboxes control what users in this group can and must do:

Default Sender Domain

When Activate Default Sender Domain is checked, two additional fields appear:

Where an email is saved decides which headers and footers the Force Unsubscription Link check reads:

When the content is fetched from a URL in the wizards, only the fetched content is checked.

Email Headers and Footers

Configure default text that is prepended or appended to every email sent by users in this group:

If you put %Link:Unsubscribe% in the user group footer, an email whose template already has its own unsubscribe link shows two. To avoid this, wrap the footer link in an unsubscribe fallback block:

When an email is sent or previewed, Octeth checks the email content and every header and footer outside fallback blocks for %Link:Unsubscribe% or {{ Link:Unsubscribe }}:

  • If one is found, every fallback block is removed with its content.
  • If none is found, the first fallback block keeps its content and the others are removed, so the email gets exactly one link. List and user footers come before the user group footer, so a list or user fallback block wins over the group's.

The HTML part and the plain-text part are checked separately. A header or footer without a fallback block behaves as before. Text outside the block, such as your company address, is always added.

Things to know:

  • The block works only in headers and footers. Typed into the email content, it stays as literal text.
  • A template link inside an [IF:...] condition counts as present even when the condition hides it for a subscriber. That subscriber then gets no link.
  • A link that does not use the tag, such as a hard-coded URL or an image map, is not detected, so the fallback link is added as well.
  • A block that is not closed is treated as ordinary text: its markers are removed and its content is always added.
  • Email gateway sends do not use fallback blocks.
Headers and footers on Email Gateway email ​

By default, the user group header and footer are added to campaigns, autoresponders, transactional email, journey email and confirmation email, but not to email sent through the Email Gateway API or the SMTP relay. Gateway email is usually transactional (password resets, receipts), and many integrations expect it to arrive exactly as they sent it.

To add the header and footer to gateway email too, open Settings > User Groups, edit the group, and turn on Apply the header and footer to Email Gateway API and SMTP relay emails in the email headers and footers section. The change applies to email delivered after you save, within about a minute.

When the option is on:

  • The plain-text header and footer are added to the plain-text part, and the HTML header and footer to the HTML part. A part the email does not have is not created.
  • HTML without <body> tags still gets the header and footer, at the start and end of the content.
  • Links in the footer are click-tracked when the sender domain has link tracking on.
  • Journey email is not affected, because journeys already add the header and footer.
  • Only the user group header and footer are added. List and user headers and footers are not.

Gateway email is not personalized the way a campaign is, so merge tags such as %Subscriber:EmailAddress%, %Link:Unsubscribe% or {{ FirstName }} in the header and footer are removed, and an {{#unless_unsubscribe}}...{{/unless_unsubscribe}} block is removed with its content. Write gateway headers and footers as plain text and fixed links. The unsubscribe link in gateway email comes from the sender domain's Unsubscribe link setting, not from the user group footer.

X-Mailer Header

Send Method

Select how emails are delivered for users in this group. The available options are:

When SMTP is selected, the following additional fields appear:

TIP

When using an ESP integration like SendGrid or Mailgun, the SMTP host is automatically configured by the system. You only need to provide your credentials.

DNS Templates

Delivery Server Assignments

Assign specific delivery servers to each email channel:

Limits Tab ​

The Limits tab defines usage quotas for users in this group. Set any value to 0 for unlimited.

Rate Limits

A JSON editor allows you to configure per-user rate limits for email sending. Rate limits control how many emails a user can send within specific time intervals (per minute, per hour, per day, per week, per month, per year). Set values to -1 to disable rate limiting for a specific interval.

Asset Limits

INFO

Limits set at the User Group level apply to all users in the group. Individual user limits can be viewed and monitored on the user's Limit Utilization page.

Email gateway send limits ​

Two settings on this tab limit what users in the group can send through the Email Gateway API and the SMTP relay. Journey Send Email actions send through the Email Gateway API, so the same limits apply to them. Each recipient (To, CC and BCC) counts as one email.

Default Rate Limits (under Send Rate Limit Settings) holds two sets of limits: EmailGateway for email and SMS for text messages. Each set has a Minute, Hour, Day, Week, Month and Year value:

  • -1 means no limit for that interval.
  • 0 blocks all sending for that interval. This is the opposite of the other fields on this tab, where 0 means unlimited.
  • Any other number is the most emails the user can send in that interval.

When a user reaches a rate limit, the Email Gateway API answers HTTP 429 with error code 429, and the SMTP relay answers 500 5.0.0 EMAIL SEND RATE LIMIT REACHED.. Email that was accepted within the limit is delivered.

Emails under Daily Limits also caps Email Gateway email. Octeth counts the user's gateway email for the server's calendar day, including email that is still queued and email that failed. Over the cap, the Email Gateway API answers HTTP 429 with error code 17 (Email sending limit reached), and the SMTP relay answers 500 5.0.0 EMAIL SENDING LIMIT REACHED.. Leave the field empty or set it to 0 for no daily limit.

To give one user different rate limits, see Overriding rate limits for one user. The daily limit has no per-user override.

Rate limits during a Redis outage

Octeth keeps the rate limit counters in Redis. If Redis cannot be read, Octeth accepts the email without a rate limit check and logs an error, so a Redis outage does not stop your customers' email. To reject these sends instead, set EMAILGATEWAY_RATE_LIMIT_FAIL_CLOSED=true, see Octeth Configuration. Email that is already queued is delivered either way. The daily limit does not depend on Redis.

Payment & Credit Settings Tab ​

The Billing tab controls whether the payment and credit system is active for this group.

When a credit is returned ​

When the credit system is enabled, Octeth takes one credit for each auto-responder or transactional email just before it hands the email to a delivery server. Taking the credit first stops several sending processes from spending the same last credit at the same time.

If the email then fails before it ever reaches a delivery server, the credit is returned to the account automatically. This happens when:

  • Octeth cannot connect to the delivery server, for example because it is down, unreachable, or its host is not set.
  • The delivery server rejects Octeth's login.
  • The local mail program configured as the sending method does not exist or cannot be run.

The credit is kept when a delivery server received the email and refused it. This includes:

  • The recipient's address is rejected, for example because the mailbox does not exist.
  • The sender address or the message content is rejected.
  • The email fails after its content was sent to the delivery server.
  • The secure (TLS) connection to the delivery server cannot be set up.
  • The local mail program ran and reported an error.
  • Octeth cannot tell for certain whether the delivery server saw the email.

The credit is also kept when the email is refused before sending because of its own settings, such as an invalid From address, or because the account reached the monthly limit of the default sender domain.

In every case the email's status is Failed and the reason is recorded with it. A credit is returned at most once for each email, however many times the email is retried.

If a sending process stops unexpectedly after taking the credit, the email is retried automatically after about 30 minutes using the credit it already holds. No second credit is taken, and the retry follows the same rules above.

Campaign credits and email gateway sends are not affected by this rule.

Permissions Tab ​

The Permissions tab controls which features and actions are available to users in this group.

Permission Presets

Use the preset dropdown to quickly apply a common permission configuration:

User Interface Tab ​

The User Interface tab controls the visual appearance for users in this group.

Editing a User Group ​

Click the name of any user group on the browse page to open the edit form. The edit form has the same five tabs and fields as the creation form, pre-populated with the group's current settings.

An additional Save As option is available, which creates a duplicate of the current group with a new name. This is useful for creating variations of an existing configuration.

Deleting a User Group ​

To delete user groups, select them using the checkboxes on the browse page and click Delete in the toolbar.

DANGER

A User Group cannot be deleted while it has users assigned to it. Reassign or remove all users from the group before deleting it.

Managing Users ​

Browsing Users ​

Navigate to the Users page from the admin panel. The page displays a searchable, filterable list of all user accounts.

User Table

Each row in the table displays:

Sidebar Filters

The left sidebar provides multiple filtering options:

Sorting

Use the Sort Field dropdown in the toolbar to sort by:

  • User ID
  • SSO ID
  • Email Address
  • Account Create Date
  • First Name
  • Last Name
  • Company Name
  • Last Activity Time

Choose Ascending or Descending order with the Sort Type dropdown.

Bulk Operations

Select users with checkboxes, then use the toolbar actions:

  • Delete — Delete the selected user accounts.
  • Change Status — Set the selected accounts to Enabled or Disabled.

Creating a New User ​

Click the Create User button on the Users page. The creation form has two tabs: Account Information and Personal Information.

Account Information Tab ​

Click Create User to save the new account.

Editing a User ​

Click a user's avatar or the Edit link on the Users browse page to open the edit screen. The edit page has a sidebar navigation on the left and a tabbed form on the right.

Account Information Tab ​

The Account Information tab includes the following fields:

Settings configured on this tab take precedence over the User Group settings. To revert to group defaults, clear the field or select the default option.

Overriding rate limits for one user ​

The Rate Limits editor replaces the user group's Default Rate Limits for this user. To start from the group's values, click the Click here link in the note below the editor. The override can be looser or stricter than the group's limits.

Octeth applies the override one set at a time:

  • An EmailGateway set in the override replaces the group's whole EmailGateway set. An interval you leave out of it is unlimited. It does not fall back to the group's value.
  • If the override has no EmailGateway set, for example because it holds only SMS, the group's EmailGateway limits apply.
  • If the editor is empty, the group's limits apply.

Plan purchases and plan changes in the new user interface do not write an override, so accounts on a billing plan follow their user group's limits.

Click Update Account to save changes.

User Categories ​

Categories are organizational labels that help you group users for quick filtering. They are distinct from User Groups — categories are lightweight tags for administrative convenience, while User Groups define permissions, limits, and delivery settings.

Creating a Category

  1. Open a user's edit page.
  2. In the Category dropdown on the Account Information tab, select New Category.
  3. Enter the category name in the text field that appears.
  4. Click Update Account to save.

The new category becomes available for all users.

Filtering by Category

On the Users browse page, use the By Category section in the left sidebar to filter the list by a specific category.

Renaming a Category

  1. On the Users browse page, filter by the category you want to rename.
  2. In the toolbar, open the Category Tools dropdown and select Rename Category.
  3. Enter the new name and confirm.

Deleting a Category

  1. On the Users browse page, filter by the category you want to delete.
  2. In the toolbar, open the Category Tools dropdown and select Delete Category.
  3. Confirm the deletion.

INFO

Deleting a category does not delete the users in it. Those users become "Uncategorized".

Monitoring Users ​

Account Activity ​

The Account Activity section on the user's edit page provides charts and data about the user's email performance over time.

Use the dropdown to select which metric to view:

Data Tabs

Below the chart, two additional tabs provide tabular data:

Limit Utilization ​

The Limit Utilization section shows how much of their allocated limits a user has consumed. Navigate to this section from the user's edit page sidebar.

Limits are displayed across four tabs:

Send Rate Limits

Shows email sending rate consumption for each time interval (per minute, per hour, per day, per week, per month, per year). Each card displays the used count, limit, percentage, remaining amount, and time until the counter resets.

Send rate limits apply to email gateway and journey email deliveries only.

Asset Limits

Shows consumption for:

  • Campaigns
  • Subscriber Lists
  • Custom Fields
  • Total Subscribers
  • Sub-Users
  • Auto Responders
  • Journeys

Time Based Limits

Organized into three groups:

Threshold Limits

Shows whether usage is within or has exceeded configured thresholds:

  • Email Send Threshold

  • Default Domain Monthly limit

Status Indicators

Each limit card uses a color-coded status:

TIP

Limits are inherited from the user's User Group. To change a user's limits, edit the User Group configuration in the Limits tab.

Sender Domains ​

The Sender Domains section on the user's edit page lists all sender domains associated with the user, including both marketing email domains and transactional email (email gateway) domains.

Table Columns

Domain Statuses

Sending Messages to Users ​

The Send Message section on the user's edit page allows you to send a direct email to the user from the admin panel.

Account Control ​

Enabling and Disabling Accounts ​

To change a user's account status:

From the edit page:

  1. Open the user's edit page.
  2. In the left sidebar under User Options, click Disable Account or Enable Account (the label reflects the opposite of the current status).
  3. Confirm the action.

From the browse page (bulk):

  1. Select users using the checkboxes.
  2. Use the Change Status dropdown in the toolbar to set accounts to Enabled or Disabled.

INFO

Disabling an account prevents the user from logging in and stops all scheduled campaigns and auto-responders. The user's data (lists, subscribers, campaigns) is preserved.

Email Gateway sending from a disabled account ​

Disabling an account also stops its Email Gateway sending at once:

  • The Email Gateway API rejects new email with HTTP 403 and error code 12 (Invalid or deactivated user account). Nothing is queued.
  • The SMTP relay refuses the account's login.
  • Journey Send Email actions fail, because they send through the Email Gateway API.
  • Email that is already queued is not sent and no credit is charged. Its status becomes Failed with the message Sending blocked: account disabled. Enabling the account again does not resend it, including email that was scheduled for later.
  • Click-tracked links in Email Gateway email the account already sent, journey email included, return HTTP 404 (Not Found) instead of redirecting. Open tracking and unsubscribe links keep working.

Suspending or blocking a single sender domain has the same effect on that domain's email, except that the Email Gateway API answers error code 32 (Domain is not activated). The same applies to a domain in Approval Pending.

Reputation Levels ​

Every account is Trusted or Untrusted. Change it with the Reputation dropdown on the user's Account information tab, and use By Reputation Level on the Users page to list the accounts at each level.

An Untrusted account can log in and prepare its work, but it cannot send until you mark it Trusted:

  • A campaign it schedules waits in Pending Approval until an administrator approves it.
  • The Email Gateway API rejects its email with HTTP 403 and error code 40 (Account pending approval). Nothing is queued.
  • The SMTP relay refuses its login.
  • Journey Send Email actions fail, because they send through the Email Gateway API.
  • Email already queued when the account is moved to Untrusted is not sent. Its status becomes Failed with the message Sending blocked: account pending approval. Marking the account Trusted again does not resend it.
  • Links in email it already sent keep working.

When an Untrusted account tries to send through the Email Gateway API, Octeth emails the address in Send Alerts To (Settings > Admin Account, Email addresses tab), at most once per account every 24 hours. In the new user interface, an Untrusted user sees an Account is waiting review banner.

To let the account send, set Reputation to Trusted and click Update user account. Nothing else needs to change, and queued email is checked again for each message.

Allowing Untrusted accounts to use the Email Gateway API ​

EMAILGATEWAY_REQUIRE_TRUSTED is true by default, which applies the Email Gateway API, journey and queued email rules above. Set it to false to let Untrusted accounts send through the Email Gateway API and journeys, as they could before v6.0.1. It does not change the SMTP relay, which always requires a Trusted account, or campaign approval. See Octeth Configuration.

After upgrading to v6.0.1

Accounts created through the sign-up page or single sign-on have been Untrusted by default for many releases. If any of them send through the Email Gateway API or journeys, their email stops after the upgrade until you mark them Trusted or set EMAILGATEWAY_REQUIRE_TRUSTED=false. See API Behavior Changes.

Changing a plan in the new user interface never changes an account's reputation.

Deleting a User Account ​

  1. Open the user's edit page.
  2. In the left sidebar under User Options, click Delete Account.
  3. Confirm the deletion.

DANGER

Deleting a user account permanently removes all associated data, including campaigns, subscriber lists, subscribers, auto-responders, segments, custom fields, and media files. This action cannot be undone.

You can also delete users in bulk from the browse page by selecting users with checkboxes and clicking Delete in the toolbar.

Impersonating a User ​

The Login as User feature allows administrators to log in as a user to troubleshoot issues, review their setup, or provide support. This is available from both the user's edit page and the browse page.

Two impersonation modes are available:

Login (Default)Logs in as the user with their standard permission set as defined by their User Group. This mode lets you see exactly what the user sees.

To impersonate a user:

  1. Open the user's edit page.
  2. Click the Login as User dropdown button in the top section bar.
  3. Select Full Login or Login.

The system opens the user's dashboard in a new session.

TIP

Use Login (Default) when you want to verify what the user can see and do with their current permissions. Use Full Login when you need to perform administrative actions within the user's account.
